Before you accept the luggage, you must check whether it meets the following conditions:
Standard suitcase: The maximum permitted weight is 31.5 kg.
Special luggage: Only bicycles and orthopedic aids (e.g., wheelchairs or walkers) are accepted.
Dimensions for special luggage: The maximum weight is also 31.5 kg and the length must not exceed 3.00 m.
Important: Anything that is heavier or longer than specified must not be accepted!
Before the Start (At the Depot):
Activation: Scan the LEFT barcode before departure to load the order into your tour.
The Importance of the Time Window (IMPORTANT):
Observe Time Specification: The time window in the middle of the luggage tag (e.g., 06-09) is of great importance. You must appear at the customer's location within this period. Punctuality is the foundation of the DB Luggage Service.
Checking the Quantity (Number of Items):
Check exactly how many pieces of luggage belong to the order:
1/1: Only one piece of luggage.
1/2: Two pieces of luggage (both must be recorded).
Scan upon Takeover:
Scan the LEFT barcode first (arrival at the customer) and then the RIGHT barcode for each individual piece of luggage.
Before you load the luggage, you must thoroughly examine it and label it correctly:
Thorough Damage Inspection (Liability Protection):
Examine the suitcase for: Cracks in the shell, defective wheels, torn-off handles, or broken zippers.
IMPORTANT: If damage is present, you must record it in writing on the back of the luggage tag (on the receipt section). This is the only way to protect the company from unjustified compensation claims.
Attaching the Luggage Tag (Banderole):
Attachment: Wrap the tag around the sturdiest handle of the suitcase (usually the side or top carrying handle).
Gluing: The ends must be firmly glued together. Ensure that the adhesive strip does not cover any barcodes.
Readability: The barcodes must lie flat so they can be scanned without issues at the next point in the depot.
After the luggage tag has been scanned and attached, the financial processing of the order takes place:
Check Payment Status:
Check your scanner to see if a "Collection" (Inkasso) amount is listed for the order.
If no amount is displayed, the shipment has already been prepaid.
Cash Payment from the Customer:
If the customer must pay in cash: Collect the amount shown on the scanner.
IMPORTANT: Confirm the receipt of the money in the system immediately to correctly complete the order.
Handing Over the Receipt:
Detach the receipt section from the luggage tag and hand it to the customer. This is their proof of handover for the luggage.
If the collection does not take place directly at the apartment door, but at a central location:
Collection at the Reception:
Report to the reception or the porter.
Compare the data on the luggage tag (name, number of pieces) with the information in your scanner.
Only take over the luggage once all the data matches.
Secure Transport in the Vehicle:
Place the suitcases in the cargo area so that they stand stably and cannot slide or tip over during the journey.
Make sure that heavy suitcases are at the bottom to avoid damaging lighter pieces of luggage.
Protection of the Barcodes:
The luggage tags must remain clear during transport and must not be torn off or crumpled by other luggage, so that they can be scanned immediately during unloading at the depot.
If you do not find the customer at the address and the luggage is not ready for collection, proceed as follows:
Fill out the blue notification card (BNK):
Take a blue BNK card and fill it out clearly.
Enter the current date and the time of your visit.
Mailbox insertion:
Drop the completed card into the customer's mailbox.
This serves as official proof that you were on-site but could not perform the collection.
Status in the scanner:
Do not forget to change the status in the scanner accordingly (e.g., "Customer not found"), so that the order is updated correctly in the system.
